Demo and trial participants
Client organizations and administrators
Callers, users, and individuals interacting with ConnectXL™

We collect data in three ways:

2.1 Information You Provide Directly

Name, email, phone number
Job title, department, organization
Inquiry, appointment, or service request details

2.2 Automatically Collected Information

Call metadata (date, time, duration, caller ID)
Website and form usage data (browser, IP address, device type, location estimates)
SMS/chat interaction logs
Interaction preferences and appointment data

2.3 Audio, Voice, and Conversation Data

Voice call recordings (when legally permitted)
AI-generated transcripts and call summaries
Department routing tags and call outcomes
Caller questions and responses to automated prompts


3. Handling of Sensitive Data

ConnectXL™ is not designed to collect or store:

Medical diagnoses or full health records
Social Security numbers or banking credentials
Payment card data
Academic records beyond basic directory information

FERPA- and HIPAA-ready deployments may be available upon request, using advanced security configurations and governance layers when contracted.


4. Data Ownership and Responsibility

Client organizations own their contact records, leads, call transcripts, and CRM data.
Big Hit Creative acts as a data processor, delivering communication services on behalf of the client.
Third-party partners such as Twilio, IBM WatsonX, GoHighLevel, OpenAI, or RingCentral act as sub-processors.

We do not sell or transfer personal data.


5. How We Use Collected Information

Provide automated communication services
Route calls, schedule appointments, respond to inquiries
Create call summaries and interaction reports
Improve AI accuracy and system performance
Monitor compliance, quality, and proper use
Support client integration requests


6. Third-Party Platforms and Providers

We may securely share limited data with trusted service providers such as:

GoHighLevel – CRM and workflow management
Twilio – Call, SMS, voice routing and storage
IBM WatsonX – AI security governance and audit support
OpenAI – Language processing for AI conversation
RingCentral / Office@Hand – Voice transfer and routing

Zapier or API platforms – CRM integration and automation

These platforms must meet SOC 2, GDPR, and standard industry compliance requirements.


7. Data Retention

Call recordings: 30–180 days (configurable by client)
AI-generated transcripts: 60–90 days (unless extended)
CRM contact information: While client account remains active
Demo request details: 6–24 months

Clients may request data deletion where legally permitted.


8. Legal, Regulatory, and Compliance Support

ConnectXL™ supports compliance considerations under:

GDPR / UK GDPR
CCPA / CPRA
FERPA (education privacy)
HIPAA-ready deployments when agreed by contract
SOC2 compliance via hosting and technology partners


9. Rights of Users and Clients

Depending on jurisdiction, individuals may have rights to:

Request access to stored information
Request corrections or deletion (Right to be Forgotten)
Request export or transfer (Data Portability)
Restrict specific processing activities
